1. The Neurological Group Committee are aware that often people with neurological conditions have good reasons to be sensitive about letting other people, including working colleagues and managers, know about their circumstances. They may also be self-conscious about disclosing sensitive personal information to strangers.

2. The Nerve Centre and its Committee and volunteers are therefore committed to provide information and advice in strict confidence and with sensitivity to all those who use its services.

3. All committee members and volunteers who assist in the operation of the centre, are required to:

  • Ensure that all details of a client’s visit are retained securely within the Premises.
  • Ensure that no details of a client’s visit are communicated to any third party outwith the Neurological Group.
  • Ensure that all persons visiting the centre are treated in a way that is sensitive to their feelings and their needs.
  • Ensure that any recorded personal information relating to visits/visitors, including names, addresses, phone and other contact details, medical history and nature of visit are securely controlled. This means carefully filing and locking away all sensitive information in the security filing cabinets provided, at the end of each opening session.
  • Ensure outdated or duplicated information of a confidential nature is not disposed of in waste bins but is first shredded.

In the Event of A Complaint

4.    The Committee of the Neurological Group encourage visitors to bring to their attention any perceived breaches of confidentiality.

5.    Anyone using the Centre who has reason to believe that there has been a breach in this confidentiality should in the first instance raise the matter with the duty volunteer, who will advise the Secretary without delay.

6.    The matter will then be investigated, interviews with volunteers will be carried out, and a report will be given to the full Committee at its next meeting. It will be the Committee’s responsibility to decide what should happen to any volunteer found to have breached the policy. It will also be up to the Committee Secretary to advise the complainant what has happened as a result of their complaint.

7.    Any volunteer found to have breached someone’s confidentiality may be asked to stand down from their duties.

Review of Policy

8. This policy will be reviewed annually by the Committee.
